Position Description:

Harmel Academy of the Trades is a Catholic men’s trade school; a community of prayer, work, and study dedicated to forming the souls, minds, and bodies of young men through skilled trades training, apprenticeships, a robust study of the humanities, and a community of spiritual formation.

The Development Operations Manager is a critical role at Harmel Academy, tasked with managing the details and data associated with fundraising as well as event planning and execution. Primarily administrative in function, the role calls for excellent organizational and communication skills, creativity, attention to detail with big picture thinking, especially as the Academy moves from its startup phase to sustainable growth. The ideal candidate will have a deep understanding of the indispensable nature of administrative work that will drive Harmel to succeed in its mission. We are building a team of mission-aligned doers and this role is ideal for an impact-oriented person looking to improve and grow this department’s efficiency and effectiveness. This is a full time position located in Grand Rapids, Michigan and is an immediate need.

 

Responsibilities:

  • Development Operations
    • Serve as the primary manager of the Harmel donor database, overseeing the strategic and pragmatic configuration of the database and teaching others as appropriate;
    • Manage gift processing, gift and pledge entry, and timely acknowledgment of all contributions;
    • Generate high-level reports, including monthly and quarterly fundraising progress updates, board give/get analysis, appeal performance, etc;
    • Collaborate with the Finance vendor to reconcile daily cash logs and reports, as well as maintain accurate records of outstanding balances to generate invoices/pledge reminders as needed;
    • Collaborate with development department in planning and execution of fundraising campaigns;
    • Perform clerical and administrative tasks related to the department’s needs, supporting the Director of Development, President, and Director of Outreach & Operations in ensuring department wide projects are executed efficiently.
  • Events & Communications
    • Develop and coordinate event timelines mapping out key milestones for solicitations and communications pieces along with the run-of-show program and staffing plans;
    • Coordinate staff, volunteer, and community involvement for development & operational events and activities (eg fundraisers, commencement);
    • Track and maintain event data, including but not limited to guest lists, sponsorships, ticket sales, and fulfillment of sponsor benefits;
    • Collaborate with the Director of Development to execute all Annual Fund appeals and communications projects (eg newsletters);
    • Assist with Board meetings, materials, and communications as needed by the President



Qualifications:

  • Proven organizational and time management skills;

  • Effective interpersonal, verbal, and written communication skills to work with a variety of constituents (eg. staff, students, board members, and donors);

  • Strong alignment with and passionate about participating in the mission and culture of Harmel;

  • Good teamwork skills and goal oriented, experience as a team leader preferred;

  • Ability to be flexible and work independently on a variety of projects;

  • Ability to handle confidential matters on a regular basis;

  • Proficiency in common applications, and skill in learning new;

  • Familiarity with design applications, and skill to manipulate designs. 

Work is mainly performed in a professional office setting with daily and weekly deadlines. The candidate must have flexibility and availability to be present on some nights and weekends. While performing the duties of this job, the Development Operations Manager is required to stand, walk, talk, reach, sit and perform repetitive motions of hands/wrists. The ability to lift and move items up to 25 pounds is required, as is the ability to frequently move about the Harmel campus for activities like campus tours.
